At Vision Academy, we believe that the strength of our work rests not only on the quality of our teaching but also on the trust parents place in us to protect, guide, and support their children. For this reason, we have developed a set of clear and carefully considered policies that underpin everything we do. Parents can have peace of mind that safeguarding and safety are central to everything we do, ensuring that each child learns in a secure and supportive environment.
1. Enrolment and Commitment
1.1 A child’s place at Vision Academy is confirmed once the registration form has been completed and the first payment has been received. This ensures that we have all necessary information to provide a safe, personalised, and high-quality learning experience.
1.2 Enrolment requires a minimum commitment of one full calendar month. After this initial period, tuition continues on a rolling monthly basis, providing flexibility while allowing us to plan lessons effectively and maintain a consistent learning environment.
1.3 Parents may choose tuition in Mathematics, English, or both subjects, depending on their child’s needs and preferences. Our aim is to provide focused support tailored to each child’s learning goals.
1.4 By completing enrolment, parents can be confident that their child will be cared for in a safe, structured, and supportive environment, with all necessary procedures in place to ensure their wellbeing and progress.
2. Tuition Fees and Payment
2.1 Tuition is charged at £10 per hour for Mathematics and £10 per hour for English. Parents may choose one or both subjects, allowing flexibility to meet each child’s learning needs.
2.2 Fees are paid in advance for the full calendar month. Payment can be made in cash or via our secure online payment system, making the process simple and convenient for families.
2.3 Where tuition days fall during school holidays, fees will be adjusted accordingly. Vision Academy follows the Birmingham City Council school term dates.
2.4 While regular attendance is encouraged to maximise learning, we understand that children may occasionally be unable to attend. Parents should notify us in advance by emailing administrator@vision-academy.co.uk. Lessons cancelled with prior notice will not be charged, ensuring fairness and flexibility.
2.5 Fees for lessons not cancelled in advance remain payable, reflecting our commitment to maintaining small class sizes, dedicated tutors, and consistent learning experiences for all students.
2.6 By supporting Vision Academy, parents are sponsoring a structured, safe, and enriching learning environment, with experienced tutors focused on helping each child achieve their full potential.
3. Attendance and Absences
3.1 We recognise that children may occasionally be unable to attend lessons due to illness, family commitments, or other unforeseen circumstances.
3.2 To ensure fairness and clear communication, parents are required to notify us in advance of any intended absence by emailing administrator@vision-academy.co.uk.
3.3 Where notification is received before the scheduled lesson, no fee will be charged for that session, and adjustments will be made accordingly.
3.4 If absence occurs without prior notice, the lesson will unfortunately remain chargeable, as we prepare resources and staffing in advance to maintain our high standards of teaching and small group sizes.
3.5 Our aim is always to support families in balancing commitments, while also ensuring that every child benefits from consistent learning opportunities.
4. Learning Environment
4.1 Vision Academy aims to provide a happy, safe, and welcoming space where every child can enjoy learning and feel confident to participate.
4.2 Our classrooms are designed to be calm and supportive, with small groups to ensure that each student receives personal attention from our tutors.
4.3 We encourage children to be polite, kind, and respectful to their tutors and classmates, and to take care of the learning space.
4.4 Occasional reminders about behaviour are a normal part of helping children learn how to work well together. In rare cases where behaviour repeatedly disrupts learning, we will work closely with parents to find the best way to support the child and ensure a positive environment for all.
5. Holidays
5.1 The Academy observes the Birmingham City Council school term dates.
5.2 Lessons will not be scheduled on official school holidays, and fees for those periods will not be charged.
5.3 A calendar of term dates will be provided at the start of each academic year.
6. Notice and Withdrawal
6.1 If parents wish to withdraw their child from tuition, we ask for at least one week’s notice in writing. This allows us to manage lesson planning and maintain smooth operations for other students.
6.2 Fees remain payable up to and including the final week of notice, even if lessons are not attended, helping us sustain small group sizes, dedicated tutors, and a consistent learning environment for all students.
6.3 We aim to make the process simple and transparent and encourage parents to contact the Academy with any questions or support needs during this period.
7. Academy Responsibilities
7.1 Vision Academy is fully committed to providing a safe, welcoming, and supportive learning environment for every child. We take health and safety very seriously and ensure that our teaching spaces meet appropriate standards for comfort and security.
7.2 Vision Academy operates under a strict safeguarding policy to protect the wellbeing of all students in our care. Parents can be assured that their child’s welfare is at the centre of all our planning, policies, and day-to-day practice.
8. Liability
8.1 While Vision Academy takes all reasonable steps to provide high standards of safety, safeguarding, and quality teaching, parents and guardians remain responsible for the general conduct and wellbeing of their child outside of lesson times.
8.2 Within lesson times, we take every precaution to ensure a safe and secure environment. We are confident that by working closely with parents and maintaining our safeguarding commitments, students will be able to learn in a space where their safety and progress are always prioritised.
9. Safeguarding
9.1 Vision Academy is fully committed to the welfare and protection of every child in our care. Safeguarding is central to our ethos and embedded in all aspects of Academy life.
9.2 All staff members undergo enhanced background checks and comprehensive safeguarding training before working with students. They also receive ongoing professional development to remain alert to potential concerns and best practices in child protection.
9.3 The Academy maintains clear procedures for recognising and responding to any safeguarding concerns. This includes clear channels for staff, parents, and students to raise concerns, ensuring that issues are addressed promptly and appropriately.
9.4 Parents are asked to provide accurate emergency contact details, relevant medical information, and any other information necessary to safeguard their child effectively.
9.5 Vision Academy works in partnership with parents, carers, and relevant authorities when necessary, always prioritising the safety and wellbeing of the child above all else.
9.6 All safeguarding procedures are set out fully in our Safeguarding Policy, which parents are encouraged to review in detail.
10. Data Protection
10.1 Vision Academy is registered with the Information Commissioner’s Office (ICO).
10.2 All personal information is managed in accordance with our Privacy and Data Policy, available on request and on our website.
11. Effective Date and Updates
11.1 These Terms and Conditions are valid as of 1st September 2025.
11.2 Vision Academy reserves the right to update or amend these Terms and Conditions as it considers necessary to maintain high standards, reflect changes in practice, or support its educational goals.
11.3 Parents and guardians will be informed of any significant updates, and the most current version will always be available on the Academy’s website.
12. Agreement
Enrolling a student at Vision Academy means parents and guardians accept these Terms and Conditions in full.
